Shifts sources and feature scope

Saving a shift and publishing it are separate steps in Zoho’s guide. Publishing includes a notification choice. Reports require Administrator access or specific Reports permission. Select a plan with the features you need and check the current scope at Zoho. This guide does not establish legal compliance or a universal staffing target.

From coverage to reviewed time records

  1. Define the coverage you need

Write down the date, work location, role and start/end times before assigning people. Check availability, time-off requests and who can cover a change. Decide who owns the roster and who approves changes; this HRRef checklist is a planning method, not a staffing benchmark.

  2. Build the roster, then publish it

Check the draft against the agreed coverage. Zoho’s setup guide describes entering shift times, a job site and a position, then saving. Publishing is a separate action with a notification choice. Make the current version clear to the people working it; decide how late changes will be communicated.

  3. Keep the plan and recorded time separate

Use scheduled hours to describe the roster and worked hours to describe recorded working time. Agree how your team records clock-ins, clock-outs and corrections. A scheduled shift does not prove it was worked, and a missing clock record needs review before it is treated as an absence.

  4. Review exceptions before payroll export

Review missing clock records, corrections and differences between scheduled and actual hours for the same period. Zoho’s time-tracking documentation describes reviewing timesheets and pay rates before exporting data to payroll software. Have the payroll owner confirm the export fields and period; an export is not a guarantee of correct pay or legal compliance.

Keep the records you need to review

Use this editorial checklist in your existing process. These are planning fields, not a claim that every item is a named Shifts field.

RecordPurpose
Date and locationIdentify when and where the work should happen.
Role and coverage requirementRecord the work needed before selecting available people.
Start and end timeKeep the planned time window explicit.
Assigned people and availabilityCheck availability and time-off requests before publishing.
Published version and change ownerKeep the current roster and the person handling changes clear.
Clock records and reviewed correctionsKeep actual time records separate from the original plan.
Payroll period and export reviewConfirm the records and fields the payroll owner will use.

Read plan and worked-time reports separately

Zoho’s Reports overview describes these views. Use the same date window and appropriate access; features depend on the selected plan and permissions.

Scheduled hours

The scheduled-hours report summarizes planned hours and shift counts for selected schedules, positions and dates.

Worked hours

Worked-hours reports summarize recorded working hours by schedule or employee. Review the time records and the selected period.

Scheduled vs. actual

This report puts scheduled shifts and actual working hours in the same date window. It can include unscheduled shifts, so check which records are included before interpreting a difference.

Keep scheduling records separate from benchmarks

Use the absenteeism reference for its stated measurement definitions, and the turnover reference for employee departures. Neither is automatically calculated from this guide’s roster checklist.

Before choosing a scheduling tool

Does saving a shift publish it to employees?

Zoho’s setup guide treats saving and publishing as separate actions. Review the draft, use Publish and choose the notification option for the published shifts.

Who can access Zoho Shifts reports?

The official Reports overview requires Administrator access or specific Reports permission. Check access and the selected plan’s feature set for the people who need to review records.

Can I compare shift attendance directly with an absenteeism benchmark?

No automatic comparison is made. This guide covers operational scheduling and time records. The absenteeism reference page explains its own definitions and populations; match those before any comparison.

Is this a tested software review?

No. HRRef describes documented Shifts functions and an original planning checklist. HRRef has not tested the product or measured an improvement in staffing, attendance or payroll accuracy.
